Last updated: [9/9/26]

This Privacy Policy explains how Miller Digital ("we", "us", "our") collects, uses, and protects your personal data when you visit millerdigital.uk (or any of our subdomains, including ppc.millerdigital.uk), get in touch with us, or become a client. It's written to meet the requirements of the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

If you have any questions about this policy or how we handle your data, contact us at james@millerdigital.uk.

Who we are

Miller Digital is a paid media agency based in Bristol, UK, run by James Miller.

  • Data controller: Miller Digital Limited

  • Registered address: Suite C Unit 2, Bryer Ash Business Park, Trowbridge, Wiltshire, United Kingdom, BA14 8HE

  • Company registration number: 15289210

What personal data we collect

Depending on how you interact with us, we may collect:

  • Contact details you give us directly — name, email address, business name, website, and any information you include in an enquiry or audit request form (including the "monthly ad budget" range and message field on our PPC enquiry form)

  • Chat conversations — if you use the chat assistant on our site, the messages you send, along with any name, email, business details, or budget information you share during that conversation

  • Correspondence — records of emails, calls, or messages between us

  • Technical data — IP address, browser type, device information, and pages visited, collected automatically via cookies and analytics tools (see Cookies section below)

  • Client account data — if you become a client, information relating to your advertising accounts, website, and campaign performance, to the extent needed to deliver our services

  • Marketing preferences — whether you've opted in or out of receiving updates from us

We do not knowingly collect any special category data (such as health information, religious beliefs, or political opinions) through this site.

How we collect your data

  • When you fill in a form on our site (audit requests, contact forms, PPC enquiries)

  • When you use the chat assistant on our site, which is powered by AI (via Intercom's Fin) and may ask about your business, budget, and contact details to check whether we're a good fit for each other

  • When you email, call, or message us directly

  • Automatically, through cookies and similar tracking technologies when you browse our site

  • From your own ad platforms and analytics accounts (Google Ads, Meta Ads, Microsoft Ads, Google Analytics, etc.), where you've given us access as part of our service to you

How we use your data, and our lawful basis

What we use it for Lawful basis Responding to enquiries and audit requests Legitimate interest (to respond to a request you've made), or steps taken prior to entering a contract Qualifying enquiries through our AI chat assistant Legitimate interest (to check whether we're a good fit before involving a real person) Delivering paid media management services to clients Performance of a contract Sending you information you've requested about our services Legitimate interest / consent, depending on how the enquiry was made Improving our website and understanding how visitors use it Legitimate interest (analytics), or consent (for non-essential cookies) Meeting our legal and accounting obligations Legal obligation

We never sell your personal data to third parties.

A note on our AI chat assistant: Our website uses an AI-powered chat assistant (Fin, provided by Intercom) to answer common questions and check whether your business is a good fit for our services before a real person gets involved. It does not make any automated decision that produces a legal or similarly significant effect on you, a real person always makes the actual decision about taking you on as a client. If you'd rather speak to a person directly, you can ask the assistant to pass you through, or contact us at james@millerdigital.uk.

Cookies and tracking technologies

Our website uses cookies and similar technologies to make the site work, understand how it's used, and — where you've consented — measure the performance of our own advertising.

We use CookieScript to manage cookie consent. When you first visit, you'll be asked to accept or customise which categories of cookies you're happy with. Non-essential cookies (analytics and advertising) are only set once you've given consent, in line with UK GDPR and PECR requirements.

Tools that may set cookies or collect data on this site include:

  • Google Tag Manager and Google Analytics (GA4) — to understand site traffic and visitor behaviour

  • Google Ads, Meta Ads, and Microsoft Ads pixels — to measure the performance of our own marketing and, where relevant, remarket to previous visitors

  • Netlify Forms — to process and deliver form submissions from our PPC landing page

You can change or withdraw your cookie consent at any time via the cookie preferences link in our site footer, or by clearing cookies in your browser settings.

Who we share your data with

We share data with a small number of trusted third-party providers who help us run our business and deliver our services. This includes:

  • Squarespace — our website hosting and forms platform

  • Netlify — form submission handling on our PPC landing page

  • Intercom — our chat assistant (Fin), which processes chat messages and any contact details shared during a conversation

  • Google (Analytics, Tag Manager, Ads, Workspace) — analytics, advertising, and email

  • Meta and Microsoft — advertising platforms, where relevant to your account

  • Supermetrics — marketing data reporting (used internally; does not process your personal data directly)

  • [Your accounting software, e.g. Xero] — for invoicing and bookkeeping, where you're a client

We only share what's necessary for these providers to do their job, and we have data processing agreements in place with providers who process data on our behalf, where required.

We do not share your data with third parties for their own marketing purposes.

International data transfers

Some of the providers listed above (including Google, Meta, and Intercom) may store or process data outside the UK, including in the United States. Where this happens, we rely on appropriate safeguards recognised under UK GDPR, such as the UK's International Data Transfer Agreement (IDTA) or the EU-US Data Privacy Framework (where the receiving provider is certified), to ensure your data remains protected to a UK standard.

How long we keep your data

  • Enquiry and form data from people who don't become clients: retained for [e.g. 12 months], then deleted

  • Chat conversations with our AI assistant: retained according to Intercom's default retention settings, or as configured in our account [confirm your actual Intercom data retention setting here]

  • Client data: retained for the duration of our working relationship, plus [e.g. 6 years] afterwards to meet UK tax and accounting record-keeping requirements

  • Website analytics data: retained according to the default settings of the relevant tool (e.g. GA4's standard retention period), or as configured in our account

You'll need to confirm your actual retention periods here — these are common defaults, not guarantees of what you currently do.

Your rights under UK GDPR

You have the right to:

  • Access the personal data we hold about you

  • Correct inaccurate or incomplete data

  • Erasure — ask us to delete your data, where there's no legal reason for us to keep it

  • Restrict processing of your data in certain circumstances

  • Object to processing based on legitimate interest, including direct marketing

  • Data portability — receive your data in a portable format, or have it transferred directly to another provider

  • Withdraw consent at any time, where we're relying on consent (such as non-essential cookies)

To exercise any of these rights, email james@millerdigital.uk. We'll respond within one month, as required by law.

If you're unhappy with how we've handled your data, you also have the right to complain to the Information Commissioner's Office (ICO), the UK's data protection regulator:

How we protect your data

We take reasonable technical and organisational measures to protect your personal data against unauthorised access, loss, or misuse, including secure hosting, access controls, and working only with reputable third-party providers.

Children's data

Our services are aimed at businesses, not individual consumers, and we don't knowingly collect personal data from anyone under 18.

Changes to this policy

We may update this policy from time to time, for example if we start using a new tool or change how we handle data. The "last updated" date at the top of this page will always reflect the most recent version.
